Oral Presenter Guidelines

Presentation time

  • Oral presenters are requested to check their time slots on the schedule page.
  • Time slots:
    • include three minutes of discussion time;
    • are subject to change depending on session progress; and
    • may be shifted before the conference date (slot lengths will not change).

Presentation setup

  • A windows laptop computer, projector, screen, microphone and laser pointer will be provided in each session room.
  • Presenters are encouraged to use the computer provided for presentations.
  • Presentation files should be in Microsoft PowerPoint (.ppt or .pptx) or Adobe Acrobat (.pdf) format. For presenters using Microsoft PowerPoint, PowerPoint Viewer can be used to test presentations.
  • The aspect ratio of material should be 4:3.

Presentation upload

  • Presentation files should be copied to the PC at the presenter check-in desk in each session room. Files may be brought on CD, DVD or USB flash drive.
  • The presenter check-in desk is open from 9 to 13 November.
  • Presenters are responsible for copying their own files to the PC as soon as possible during any break (coffee break, lunchtime or the morning before sessions) in advance of the session in which the presentation is to be made.
  • The file name should contain the presentation ID (cf. the schedule page) and first author's last name (e.g. s02-2_Lastname.pptx).

Presentations on the web

  • Presentation materials will be posted on the conference web page in PDF format following the conference for later reference by attendees.
  • If you do not wish to have your material posted on the web page, or if you prefer a different version to be posted, please inform the staff at presenter check-in.

Poster Presenter Guidelines

Poster session

  • Posters can be displayed from Tuesday to Thursday (10 - 12 November).
  • The poster session is scheduled for Wednesday 11 November from 1:30 to 2:30 p.m. No other events will take place during this time.
  • Presenters should make themselves available during the session to present their work and answer questions.

Location

  • Media Hall on the third floor of the venue (Plaza Heisei)

Poster setup

  • Presenters are responsible for posting and removing their posters.
  • Posters can be set up from 8:30 a.m. on 10 November.
  • Each presenter will be provided with a poster board with the usable area of 1.5 meters high by 1.0 meters wide.
  • Each poster board will be marked with an individual poster number. Please check the schedule for your number.
  • Posters can be affixed with small pins (to be supplied).
  • No printing service will be available.

Poster removal

  • Posters must be removed by 5:00 p.m. on 12 November. Posters remaining after this time will be disposed of.

Posters on the web

  • Poster presentation files will be posted on the conference website soon after 12 November.
  • Presenters willing to provide authorization for copying and posting on the website should come to presenter check-in at the International Conference Hall (the plenary session venue) during the conference and submit their poster presentation files.
